What 'short-dated' actually means
There's no legal definition, but in wholesale practice product with fewer than 12 months to expiration is generally sold and priced as short-dated, and most return policies stop accepting product below that line. Anything you can dispense well before expiry is inventory; anything you can't is a write-off. The whole game is knowing which is which for YOUR store.
Why short-dated can be the smartest buy in the building
Distributors discount short-dated stock steeply because their alternative is destruction. For a pharmacy that moves a product quickly, six months of dating can be all the dating you'll ever use — and the discount goes straight to your margin on every fill. High-velocity generics you dispense weekly are the classic case.
The velocity rule
Before buying short-dated, check your dispensing history: if you dispense a bottle every two weeks, a 6-month-dated case is fine; if a bottle lasts you four months, it isn't. A simple rule of thumb — you want to be confident of dispensing the quantity in no more than half the remaining dating. Your pharmacy system's usage report answers this in seconds.
What to demand from the seller
Dating disclosed before checkout, on the listing — not discovered on the invoice. Lot numbers on request. Pricing that actually reflects the dating. And no games: expired product should never be offered at any price, and a system that physically can't list it is the standard you should hold suppliers to. Ask how the discount compares to full-dated stock; if short-dated isn't meaningfully cheaper, there's no reason to take the dating risk.
Returns: know before you buy
Most wholesalers — including us — sell short-dated product as non-returnable, which is exactly why it must be disclosed up front and bought against your real velocity. In-date overstock (12+ months) is a different category with normal return rights. Read the policy so you know which side of the line each purchase sits on.
